Front of House Coordinator

This position assists the Manager, Front of House Services in all aspects of Front of House and Patron services including preparation and organization. In addition, this position will assist the front office staff in the day-to-day activities of the office, as required.

RESPONSIBILITIES

FOH Coordination

  • Schedule staff in coordination with Daytime Assistant
  • Maintain FOH sign out lists and other administrative materials
  • Complete performance sales reports for coffee & liquor bars
  • Review and reconcile operations sheets and report irregularities to the Manager, FOH Services
  • Maintain linen and equipment inventories
  • Compile weekly product order requirements
  • Order stock and equipment as required
  • Participate in monthly inventory counts
  • Receive deliveries and put away stock as required
  • Assist in event preparation and planning in association with the Manager, FOH Services
  • Complete set ups and assist in event preparation and planning for all events as required in association with the Daytime Assistant and Manager, FOH Services
  • Assess patron & auxiliary spaces daily for cleanliness, required repairs and maintenance and ensure each area is returned to its ready state after each event
  • Prepare maintenance orders and distribute to appropriate parties
  • Follow up on repairs and maintenance orders
  • Maintain servery organization and report any deficiencies in cleaning or equipment

Reception/Office Administration

  • Relief for answering and directing switchboard calls
  • Respond to patron/client inquiries
  • Assist patrons/clients in General Office
  • Assist with Lost and Found items and lists
  • Arrange for couriers and accept shipments as needed
  • Count performance cash/reconcile floats as required
  • Assist in setting up of Board/Staff functions as required

General Support

  • Provide additional assistance as required to the Accountant, Executive Director, and other Government facility staff in consultation with the Manager, Front of House Services
  • Reports directly to Manager, Front of House Services
  • Liaises with Director, Assistant General Manager, Executive Director, Office Administrator, Accountant, Infrastructure staff, Commissionaires, Technical and Custodial Staff

This position is part-time (20 hours/week). Flexible daytime hours required.
